Customer Master Data Sync from CRM to ERP: A Full Strategy Walkthrough

What This Strategy Solves

Syncing customer master data from a CRM to an ERP looks like just "creating a customer record." Once the business runs, you quickly find: the encoding rules on each side differ; the CRM mixes leads and formal customers while the ERP requires them classified as business partners; the CRM updates a customer name and the ERP does not catch up, so finance reconciliation stalls; a new customer does not exist in the ERP, and salespeople have to key the record in by hand.

The strategy we walk through here is the single sync: "Xiaoman OKKICRM customer master → Chanjet T+ business partner." Its core problem: in a private deployment, push CRM-side customer changes into the ERP's business partner archive under a unified encoding rule and keep them continuously in sync.

Data Flow and Field Mapping

The flow has three layers: source system (CRM) → Qeasy integration middle layer → target system (ERP business partner).

Key field mapping (typical items, confirm against actual business):

CRM fieldMiddle layer mappingERP business partner fieldNotes
Customer codeCUST_CODE pass-throughCustomer codeMust be globally unique
Customer nameTrim spaces, fullwidth → halfwidthUnit nameERP is sensitive to name
Customer level (lead/formal)Mapped to classification codeCustomer categoryMaintain a centralized mapping table
PhoneRegex cleanedMobile phonePrevent dirty data in ERP
AddressConcatenated province/city/district + detailAddressDepends on ERP field definition
RemarksPass-throughRemarksMind the ERP length cap

Note: centralized encoding mapping is one of the most common patterns used by Qeasy customers. All "CRM value → ERP value" mappings live in the middle layer, so later rule adjustments happen in one place without touching either end.

How to Configure on Qeasy

On the Qeasy data integration platform, this strategy can be configured in four parts:

1. Source connection. Configure CRM-side credentials and data scope. Customer master data usually goes through a "customer list" endpoint and is pulled incrementally by last-modified time.

2. Target connection. Configure ERP-side business partner write endpoint. In a private deployment, connect to the internal address and store credentials encrypted.

3. Field mapping and transformation. Beyond the table above, on Qeasy we recommend:

  • Turn cleansing rules (trim, length truncate, phone regex) into reusable transformation functions;
  • Add empty-value fallbacks for required fields so a missing source field does not break the sync;
  • Validate encoding uniqueness, skip duplicates, and write to the exception log.

4. Exception handling and alerting. Qeasy can route sync failures, encoding conflicts, and over-length fields to an alert channel. A common on-site pattern: failed records land in a staging table, an alert goes to the ops group, and an operator pushes them again after triage.

Implementation Steps

We usually roll this strategy out in three phases:

Phase 1: full initialization. Before go-live, push all formal customers from the CRM to the ERP once. On Qeasy, use the "full trigger" mode and write in batches ordered by code to avoid tripping ERP rate limits. A safe practice: run it first against a small test ledger, observe the ratio of encoding conflicts and over-length fields, then go full once rules are verified.

Phase 2: align the incremental start point. After the full load, record the last-modified time T0 of the last record as the incremental start. Qeasy supports two incremental modes:

  • Timestamp mode: pull where last_modified > T0;
  • Event/log mode: subscribe to change events if the CRM exposes one, which is more real-time.

On-site experience: timestamp mode is simple and reliable, but watch the time-zone alignment between source and the middle layer; event mode is more real-time but requires a stable change-event API on the source.

Phase 3: steady-state scheduling. Set the polling frequency to every 5–15 minutes, adjusted to volume. A common Qeasy customer pattern is "incremental plus full dual track": run increments normally, and on Sunday off-peak run a small full recheck to surface anything missed.

Lessons Learned

Pitfall 1: encoding rule mismatch. CRM uses alphanumeric codes, ERP requires digits. The safe move is to map in the middle layer instead of writing the CRM code straight into the ERP. Keep the rule in Qeasy's mapping table for easy adjustment.

Pitfall 2: fullwidth spaces and special chars in names. A name like Zhang San (with a fullwidth space) becomes a different customer after ERP import, breaking reconciliation. Clean in the transformation layer.

Pitfall 3: time zone in the incremental start. Source is UTC+8, the middle layer reads UTC, and the last record gets missed. Always pin the time-zone offset in the Qeasy strategy.

Pitfall 4: header and line items staged separately. Customer master has only a header; downstream sales orders are header + lines. A common on-site pattern: stabilize the header sync for a month, then turn on the line-related strategy, so you never troubleshoot two classes of issue at once.

Pitfall 5: network jitter in private deployment. Between CRM → Qeasy → ERP, the network occasionally jitters. Add retry with exponential backoff in Qeasy instead of alerting on the first failure.

When to Use and When Not

Use when: the CRM is the customer master source of truth, the ERP must manage business partners under a unified encoding and category, the CRM has a well-formed last-modified field or change-event stream, and the business requires high consistency on customer records.

Do not use when: customer records are edited on both sides (two-way sync is a different strategy), the CRM contains large amounts of legacy dirty data that must be cleansed first, or the ERP requires customer records split by multi-org or multi-ledger but the source cannot provide an organization dimension.
